What this policy covers
This policy covers hotelwaley.com — the website you are reading — and the partner enquiry form on it. Hotelwaley is pre-launch. When the learner app opens, we will publish an updated policy covering learner accounts, course progress and certificates before we collect any of it.
What we collect
When you send us a partner enquiry
You give us your name, your organisation, your work email, your message, and your phone number if you choose to add it. That is the whole form, and every field except the phone number is one you have to fill for us to reply.
When you simply browse
We use Google Analytics to count visits and see which sections people read. It sets cookies and records technical details such as your approximate location, device, browser and the pages you open. We look at this in aggregate. We do not use it to identify you personally.
What we never ask for on this website
We do not collect payment details, government ID numbers, biometrics or caste, religion or health information anywhere on this site.
Why we collect it
- To reply to you. Partner enquiries are read by our team and answered, usually within two working days.
- To talk about a possible partnership. If your enquiry becomes a conversation, we keep the thread so we are not asking you the same questions twice.
- To improve the site. Analytics tells us which parts of the page are useful and which are ignored.
We do not sell your personal data. We do not share it with advertisers. We do not add you to a marketing list because you sent us an enquiry.
Your consent, and taking it back
Sending the form is your consent for us to use those details to reply. You can withdraw that consent at any time by writing to [email protected], and we will stop using your details and delete them unless we are required by law to keep them. Withdrawing consent does not undo anything we did lawfully before you asked.
Who else handles your data
We use two third-party services, and only for the purposes above:
- Web3Forms — delivers the enquiry form to our inbox.
- Google Analytics — website measurement.
These providers process data on our instructions, and some of them store it on servers outside India. We share your data with nobody else, except where the law or a court requires it.
How long we keep it
Enquiries are kept for as long as the conversation is live, and for up to three years afterwards so we have a record of who we spoke to and what we agreed. Analytics data follows Google's retention settings. When data is no longer needed for the purpose it was collected for, we delete it.
Your rights
Under the Digital Personal Data Protection Act 2023, you can ask us to:
- Show you what personal data of yours we hold and who we have shared it with.
- Correct or complete anything that is wrong or out of date.
- Erase your data when we no longer need it for the purpose you gave it for.
- Nominate someone to exercise these rights for you if you die or cannot act for yourself.
- Raise a grievance if you are unhappy with how we handled any of the above.
Write to [email protected] and we will acknowledge you within two working days. Full details of how that works are on the Grievance Officer page. If we do not resolve it, you may complain to the Data Protection Board of India.
If your employer enrolled you
When a hotel, company, institution or Government programme enrols its staff or beneficiaries on Hotelwaley, that organisation decides what data is collected and why. In that arrangement it is the data fiduciary and we act on its instructions as a data processor, under a separate written data protection agreement with it.
What that means for you in practice:
- Your employer or programme authority can see your course progress, scores, completion and certificates. Where that is the case, we say so in the app before you start.
- If you ask us to correct or delete data your employer gave us, we may need to pass your request to them, because it is their record. We will tell you when we do that, and we will still help.
- We do not use one client's data for another client, and we do not sell it.
- We never promise your employer a training outcome about you. Scores and analytics describe performance in a lesson, not your worth as an employee, and our client agreements require human review before this information is used in any material employment decision.
If you signed up on your own rather than through an employer, none of this applies — we are the data fiduciary and you deal directly with us.
Children
This website is not intended for anyone under 18. We do not knowingly collect the personal data of children. When the learner app launches, any account for a person under 18 will require verifiable consent from a parent or guardian, and we will not track or profile them or show them targeted advertising.
Keeping it safe
The site is served over HTTPS, access to enquiry data is limited to the people who need it to do their job, and we review that access. No system is perfectly secure, but if a breach affects your data we will notify you and the Data Protection Board as the law requires.
Changes to this policy
When we change this policy we will update the date at the top. If the change materially affects how we use data you already gave us, we will tell you directly.
